Refunds & Returns Policy – Flexitime

At Flexitime, we aim to provide a positive and transparent experience for both wellbeing professionals and users of our platform. This Refunds & Returns Policy outlines how refunds, cancellations, and returns are handled across all products and services offered directly by Flexitime.

This policy applies only to payments made directly to Flexitime.
It does not apply to any payments or agreements made between users and professionals off-site.


1. Professional Listings, Memberships & Subscription Plans

Professionals may purchase:

  • Listing plans

  • Subscription packages

  • Tiered access plans

  • Paid upgrades (e.g., featured listings)

  • Sponsorship or advertising packages

1.1 Refund Policy for Listing Fees & Subscription Plans

All listing fees, subscription charges, and paid upgrades are generally non-refundable, except where required by Irish or EU consumer law.

Refunds are not provided in cases where:

  • The professional chooses to cancel early

  • The listing underperforms

  • The professional changes their mind

  • The account is suspended due to a breach of terms

  • The professional fails to upload content or complete their listing

Flexitime provides a digital service that becomes accessible immediately upon purchase; therefore, the statutory right to cancel may not apply once the service has begun.

1.2 Exceptional Refund Circumstances

A refund may be considered if:

  • A technical issue on Flexitime’s side prevents your listing from being published

  • A duplicate payment was made in error

  • A subscription renews unintentionally AND you notify us within 7 days

These will be assessed on a case-by-case basis.

2. Sponsorship & Advertising Packages

These include:

  • Featured listings

  • Sponsored categories

  • Homepage banners

  • Event sponsorship

  • Branded promotional content

2.1 Refunds for Sponsorship Packages

All sponsorship and advertising purchases are non-refundable due to:

  • Pre-allocated advertising space

  • Reserved campaign slots

  • Promotional preparation

  • Marketing resources allocated in advance

Once the campaign is agreed upon or activated, no refunds can be issued.


3. Flexitime Events (e.g., FlexFest, webinars, workshops)

Flexitime may organise and sell tickets for:

  • Fitness/wellbeing events

  • Workshops and training

  • Webinars

  • Community events

3.1 Event Ticket Refunds

Refund eligibility depends on the timing of the request:

  • More than 14 days before the event:
    Full refund (minus any payment processing fees).

  • Within 14 days of the event:
    Refunds are at Flexitime’s discretion.

  • Within 72 hours of the event:
    Tickets are non-refundable, except in exceptional circumstances.

3.2 Event Cancellations

If Flexitime cancels an event:

  • You will receive a full refund
    OR

  • You may choose to transfer your ticket to a new date (if applicable)

If an event is postponed:

  • Tickets will automatically transfer to the new date

  • A refund will be offered if you cannot attend the rescheduled event


4. Products (Clothing, Accessories, Merchandise)

This section applies only to physical goods sold directly by Flexitime.

4.1 Returns & Exchanges

You may return unused and unworn items within 30 days of delivery for:

  • A full refund

  • An exchange

  • Store credit

Items must be:

  • Unused

  • In original condition

  • In original packaging

  • Free from damage, odours, or wear

4.2 Items Not Eligible for Return

  • Used, worn, or washed items

  • Gift cards or promotional items

  • Items purchased at discounted “final sale” prices

4.3 Faulty or Incorrect Items

If your item arrives damaged or incorrect:

  • Contact us within 7 days of delivery

  • We will replace the item or issue a full refund

Please include photos of the issue when contacting us.

4.4 Return Shipping Costs

  • Returns due to change of mind: customer pays return shipping

  • Returns due to a Flexitime error (damaged/incorrect item): Flexitime covers return shipping


5. Payments Not Covered by This Policy

Flexitime is a directory only, and does not handle payments between users and professionals.

This policy does not apply to:

  • Payments for services provided by wellbeing professionals

  • Deposits paid directly to professionals

  • Cancellations, no-shows, or disputes between users and professionals

  • Refunds for any services arranged outside the Flexitime platform

Such matters are handled solely between the user and the professional.


6. How to Request a Refund or Return

To request a refund, product return, or event-related issue, email:

Include:

  • Your name

  • Order or transaction reference

  • Reason for request

  • Any supporting documentation (photos for damaged products)

We aim to respond within 5 business days.
